AI Interview Basics
What is an AI Interview?
An AI interview is a recruitment solution where AI acts as the interviewer, automatically analyzing and evaluating candidate responses.
Because scheduling is not required, candidates can complete interviews anytime, 24/7, at their convenience—reducing the psychological barrier to interviewing.
Depending on the number of questions, interviews typically take about 15–30 minutes to complete.

What do I need to start using HeyJob?
You can create an account instantly using just a business email address.
No setup fee or credit card registration is required.

What is included in the free trial?
New companies can try all features free for 1 month.
During the trial, there is a limit of 30 interviews, but you can use the full functionality, including:

Your account will not be automatically charged after the trial ends.
What types of companies use HeyJob?
HeyJob is used across industries such as hospitality, food service, manufacturing, logistics, retail, and call centers.
It is particularly effective in hiring scenarios with high applicant volumes, such as part-time recruitment and first-round screening for new graduates.
Because it standardizes evaluation quality, it is also widely adopted by small and mid-sized companies with limited recruiting teams.
Can I see a demo of the system?

Account & Billing
How can I update company information or change the account owner?
You can update company information from “Company Settings” in the admin dashboard.
From the same screen, you can also change the account owner or add new team members.
For detailed steps, please refer to the user manual.
Where can I check my current subscription plan?
After logging in to the dashboard, go to “Company Settings” in the left menu.
There you can view your current plan and its expiration date.
How can I delete my account?
Accounts can be deleted upon request.
Please contact us through the inquiry form for assistance.
What payment methods are available and when are invoices issued?
Payments are accepted via bank transfer (invoice billing).
Invoices are issued at the end of each month and sent as a PDF to your registered email address by the 10th of the following month.
Invoices are not sent by postal mail.
Interview Setup & Job Creation
How do I create a new job posting (interview)?
Go to “Job Management” → “Job List” and click “+ Create Job.”
Simply select a job role and the system will automatically generate optimized interview questions, so no special setup is required.
Can I customize the interview questions?
Yes.
You can edit preset templates or create your own questions from scratch.
For better AI evaluation accuracy, we recommend setting questions relevant to the specific role.
How do I generate an interview URL for candidates?
After creating a job posting, click “Generate Interview Link” on the Job List page.
Send the generated URL to candidates via email or chat to invite them to the interview.
How can I switch a job posting between public and private?
On the Job List page, simply click the status button (Public / Private) for the job posting.
The change takes effect immediately and is useful when you need to pause hiring.
What languages are supported?
The admin dashboard supports five languages: Japanese, English, Chinese, Spanish, and German.
How long does an interview typically take?
Depending on the number of questions and response time, interviews usually take about 15–30 minutes.
Operations, Evaluation & Candidate Management
Where can I view AI interview results (reports and videos)?
You can view them in the “Candidate Management” section of the admin dashboard.
By opening a candidate’s profile, you can access the AI evaluation score, evaluation comments, conversation history, and interview video.

No.
For privacy and security reasons, downloading video files is not supported.
Videos can be viewed and shared using the built-in player in the dashboard.
Data Protection & Security
How long is AI interview data stored?
Interview data is stored for 1 year from the last usage date (or contract termination date).
After this period, the data is securely deleted in accordance with our Privacy Policy.
If you need a longer retention period, please contact us.
What security measures does HeyJob implement?
Secure Authentication & Account Management
The system uses email and password authentication, with passwords securely stored using hashing. Database access and internal system credentials are protected through strict permission management and access controls.
Encrypted Communications
All communications are encrypted using SSL/TLS, preventing interception or tampering of data transmitted over the internet.
Application & Error Log Monitoring
Application and error logs are continuously collected and monitored. The monitoring system automatically detects anomalies or errors, enabling rapid response when issues occur.
Network Isolation & Multi-Layer Protection
Application servers are deployed within a private network, preventing direct external access. External traffic is routed through a Web Application Firewall (WAF) to block unauthorized access and malicious attacks.
Monitoring & Backup Infrastructure
System operations are continuously monitored, including CPU, memory, and disk usage. Regular backups ensure that the system can be quickly restored in the event of a failure.
Security Governance
The company responsible for development and operations is certified under ISO/IEC 27001 (ISMS) and manages the platform according to internationally recognized information security standards.
System Integrations
Can HeyJob integrate with an Applicant Tracking System (ATS)?
Integration with major ATS platforms is currently being rolled out.

Yes. API access is available as a paid option.

Troubleshooting
I can’t log in / I forgot my password
Please reset your password using the “Forgot your password?” link on the login page.
If you do not receive the email, check your spam folder or ensure that no-reply@hey-job.biz is allowed in your company’s email security settings.
What should I do if the interview stops or an error occurs?
Please check the following:

Ensure you are using a stable internet connection

Update your browser (Chrome or Safari) to the latest version

Reopen the interview URL and try again
If the issue persists, please contact our support team.
A candidate says they cannot take the AI interview
Please ask them to check their browser permissions for camera and microphone, and recommend completing the interview using a PC.
The interview video will not play
This may be caused by a temporary connection issue or a browser problem.
Try clearing the browser cache and reloading the page, or play the video using another browser (Google Chrome recommended).
